For those who have purchased the spam filtering option, this tutorial provides a basic overview of how to train the spam filtering service.

To access the Spam Filtering options, you will need to go to the spam server, as outlined in the spam welcome mail, and log in.
The username is your domain name. (i.e. mydomain.com), and the password is the main account password.


Recommended setup for spam filtering on 34SP accounts

We will use webmail in this example but the same procedure can be carried out in any mail client with IMAP capabilities.
Please note this will only work with IMAP or webmail, as when using POP3 connection, the mail is removed from the server and downloaded to your computer.

Login to webmail using your email address that you have enabled spam filtering on. (You should repeat this procedure with all of the addresses you have enabled for spam filtering).

Once logged in from the left hand menu choose Mail, now click on the Folders icon at the top right of the screen.



We now want to create 3 folders so:

From the drop down choose Create Folder, the 3 folders that we want to create are

ham_learn
junk_learn
spam_mail

The names of the first two need to be setup identical as listed – the spam_mail one you can vary if you wish to.

The ham_learn and junk_learn folders will be used for training of the spam filtering engine.

Based on the fact that we will be "Tagging" spam lets first setup a rule to move all the tagged spam to the spam_mail folder.

From the top menu bar choose Filters, click New Rule.



On the page that opens supply a rule name (spam mail or similar), now from the dropdown (fields) choose Subject and when it refreshes type in ***SPAM*** (this is based on you not changing it in the spam guardian interface). In the Do this dropdown select Deliver to Folder and select the target folder as the spam_mail folder you created earlier. Now click on Save.



When the screen refreshes ensure that in the Additional Settings that it is set to Filter Only Unseen Messages, using filter all messages can cause a long delay on logging into webmail.

Now we need to tell webmail to apply this new rule, from the left menu select Options, from the Edit Options for dropdown select Mail, then click Filters, now we want to tell it to apply the rules on login to save us having to run it manually.



That's the webmail setup itself actually finished.

Now any mails that are tagged by the server will end up in the spam_mail folder, this may contain some false positives, this is where the training will come into play.


Training

On occasion you will find that the spam filtering doesnt always pick up things correctly, this is where you can help.

The ham_learn and junk_learn folders that we have setup are for exactly this purpose.



First lets start with dealing with false positives, these are good mails that have for some reason ended up in your spam_mail folder. First thing to do is to move this mail back into the main inbox.

From within the spam_mail folder, locate the good email and put a tick in the checkbox that is to the left of the email, now on the screen locate the Messages to dropdown and select Inbox and click Move that is to the left of it.

This has now moved the mail from our spam_mail folder to our main mailbox, now we need to tell the server to learn from its mistake – so we select the mail again from the Inbox and this type we select ham_learn from the Messages to dropdown, but as we want to keep the good mail in our Inbox we choose copy instead of move.

This is now in the ham_learn folder and the server will periodically check this folder for good mails and try to learn from them so it doesn't make the same mistakes again.

If you are happy all the other mails in the spam_mail folder are spam you can safely use the webmail functions to empty this folder to conserve your disk space, please remember depending on your settings to Purge Deleted / Empty Trash to fully remove them from the server.

Now to deal with mails that got through untagged, these mails will be in your main mailbox (Inbox), all we need to do with these is simply select them using the checkbox on the left of the email and from the select Messages to dropdown select junk_learn and click Move. This folder will also be scanned regularly and the server will start to learn from them.

Over time you should start to find that you get less and less incorrect markings, and you could if you wish start to use "drop" from the spam guardian settings you would then only deal with the odd spam that got into your mailbox, please be sure to have whitelisted any important email addresses before taking this step as dropped mail is not recoverable.
